How FieldForm handles your information. Plain English, no fine print for the sake of it.

About this policy

FieldForm is a web app at fieldform.nanocorp.app that helps you turn your work into signed PDF records — job sheets, timesheets and machinery records. FieldForm is currently a beta service, free to use.

This policy explains what information FieldForm handles, where it lives, and what happens when you delete your account. It describes the service as it actually works today, in plain English.

What FieldForm stores about your account

  • Account basics. Your name and email address, received from your NanoCorp sign-in, and a picture if your NanoCorp account has one.
  • Business details (optional). A business name, phone number and VAT settings you can save so they print on your PDFs, plus an optional business logo you can upload.
  • Payment details (optional). If you choose, you can save an account name, sort code, account number and payment instructions so they can appear on PDFs you generate. You decide per sheet whether they are shown. FieldForm does not process payments — these details are stored only so your PDFs can carry them.
  • Saved jobs & rates. Job names, charging methods and rates you save, including any customer-specific rate overrides.
  • Your records. The Job Sheets, Timesheets and Machinery Records you save. These can include farm or client names, field or location details, tasks, start/finish times and breaks, notes, charging details, a job number, a signer name and a drawn signature.
  • PDF usage. A monthly count of PDFs you generate, used to apply the free allowance.

Drafts and data on your device

Unfinished forms are kept in your browser's local storage on the device you typed them on, so you can pick them up later. This includes anything you have drawn on the signature pad. If you are signed in, an unfinished draft is also saved to FieldForm's servers under your account, so you can carry on from any device you sign in on; the device copy is the offline fallback, and drafts are not shared between accounts. If you are not signed in, drafts stay on the device and are not sent to FieldForm's servers until you generate a PDF or save the record. Clearing your browser data removes the device copy, and deleting your account removes the server copy with everything else.

Sign-in

FieldForm uses “Sign in with NanoCorp”. You sign in with your NanoCorp account and FieldForm receives your name, email and picture. FieldForm never sees or stores your password. A session cookie, lasting about a week, keeps you signed in on this site's address. It is strictly necessary for the app to work.

Where your information lives

  • Database. Account details, records, unfinished drafts (for signed-in accounts), saved jobs and PDF usage are stored in a PostgreSQL database provided by Neon, on infrastructure managed by NanoCorp, the platform FieldForm runs on.
  • Hosting. The site is hosted by Vercel. Like most web hosts, Vercel keeps short-lived operational logs of requests to the site.
  • PDFs. Generated PDFs are created in memory when you ask for one and delivered straight to your device. They are not stored on FieldForm's servers as PDF files — the saved record data behind them is what FieldForm keeps.

Analytics

FieldForm uses two analytics tools, both of which count visits without setting analytics cookies and without advertising trackers:

  • Vercel Analytics records aggregate page-view counts for the site. It does not set analytics cookies and does not store analytics data on your device.
  • Cloudflare Web Analytics is provided by the infrastructure the site is served through. It does not set cookies and Cloudflare states it does not “fingerprint” individuals or track them across sites.

Neither tool is used to identify you personally, and FieldForm does not use analytics cookies. We do not independently verify how long each provider keeps its own aggregate records; you can consult Vercel's and Cloudflare's own documentation for that.

How long information is kept

Your account information and records are kept while your account exists. You can delete your account at any time (see below). We do not state fixed retention periods beyond that, because parts of the underlying infrastructure are managed by NanoCorp and its providers.

Deleting your account

The Account page has a Delete my account option. Confirming it permanently deletes everything FieldForm stores for you server-side: your records, PDF usage history, saved jobs and rates, payment details, logo and account details. Your drafts on the device you delete from are cleared, and you are signed out.

A few things sit outside that deletion, and we would rather say so plainly:

  • Deleted information may remain temporarily in the database provider's automatic recovery history before it expires on its own — typically a short window of hours to days, which we cannot shorten.
  • Short-lived hosting logs are outside FieldForm's control.
  • Your NanoCorp account is a separate identity managed by NanoCorp, not by FieldForm. Deleting your FieldForm account does not delete your NanoCorp account, and you would manage that directly with NanoCorp.

Information about your customers

Records in FieldForm often include information about your clients — farm names, customer names, fields, rates. You are responsible for making sure you only enter customer or client information that you are entitled to use for your business records, and for handling it in line with your own obligations to those people or businesses.

Security

FieldForm runs on NanoCorp's managed infrastructure, traffic is encrypted in transit, and sign-in is handled by NanoCorp. No service can promise perfect security, and we will not pretend otherwise. If you ever believe something is wrong with your account, contact us (below).

Changes and contact
